Terms and Conditions

General Conditions (Terms & Conditions)

Effective date: February 22, 2026

These General Conditions (“Terms”) apply to bookings and services offered through VisitPanama.ca (“VisitPanama”, “we”, “us”, “our”), including hotel reservations, activities, transportation, packages, and custom itineraries (the “Services”). By booking or using our Services, you agree to these Terms.

1) Who we are and how bookings work

VisitPanama acts as a travel arranger and reseller of travel services. Many Services are delivered by third-party providers (hotels, tour operators, transport companies). Your booking may be subject to both these Terms and the provider’s specific terms (for example: cancellation rules, check-in requirements, safety rules). If there is a conflict, the provider’s rules for that specific service typically apply.

2) Prices, taxes, and what is included

3) Payments

4) Booking confirmation and traveler details

Your booking is confirmed only once you receive written confirmation (email or order confirmation). You are responsible for providing accurate traveler details (names, dates, contact information). If you book for other travelers, you confirm you have authority to do so.

5) Changes and modifications

Changes (dates, names, room types, activity times) depend on provider availability and rules. Some changes may be treated as cancellations and rebookings and may carry fees or penalties.

6) Cancellations, refunds, and no-shows

Cancellation terms vary by hotel/activity/provider and season. Your specific cancellation terms will be shown at checkout or in your confirmation.

Typical examples you may encounter (provider rules):

Refund processing times depend on the payment method and provider confirmation.

7) Check-in, check-out, and incidentals

Hotels commonly require a valid credit card at check-in for incidentals (for example minibar, room service, damages), even if your room is prepaid.

Common hotel timing policies:

8) Smoke-free policy

Many hotels in Panama operate as smoke-free properties and may impose cleaning charges for violations (a published example charge is USD $250).

9) Travel documents and entry requirements

You are responsible for passports, visas, health requirements, and complying with entry rules and airline requirements. We can provide guidance, but you must verify official requirements for your citizenship and itinerary.

10) Travel insurance

We strongly recommend travel insurance (medical, trip interruption, baggage, cancellations). You are responsible for evaluating coverage and purchasing it if desired.

11) Safety, activities, and assumption of risk

Some activities (for example boating, fishing, hiking, scuba diving, horseback riding) carry inherent risk. You agree to follow provider safety instructions and acknowledge that participation is at your own risk.

12) Liability limitations

To the maximum extent permitted by law:

13) Force majeure

If an event outside reasonable control makes it illegal, unsafe, or impossible to deliver Services (for example natural disasters, government restrictions), bookings may be changed, delayed, or cancelled. Refunds/credits (if any) depend on provider rules and the nature of the event.

14) Website use

You agree not to misuse the website, attempt unauthorized access, or disrupt services. Content on the website (text, images, logos) is owned by VisitPanama or its licensors and may not be copied or used without permission.

15) Privacy

Our collection and handling of personal information is described in our Privacy Policy.
